It’s not just being prepared for a disaster, it’s how you continue operation after as well, sometimes referred to as a BC (Business Continuity) plan.  What is your BC plan and how do you come up with it?  According to Kim Lindros and Ed Tittel for CIO, there are 6 general steps in developing a BC plan, and they are as follows:

  1. Identify the scope of the plan.
  2. Identify key business areas.
  3. Identify critical functions.
  4. Identify dependencies between various business areas and functions.
  5. Determine acceptable downtime for each critical function.
  6. Create a plan to maintain operations.

Once you have a plan the best way to ensure everyone is on board and prepared is to test it.  What good is a plan if no one knows how to use it?  Have frequent drills so you, your employees, and all personnel understand what they need to do in the event of an emergency.  Testing and running drills will eventually create more of a “muscle memory” response so precious time isn’t wasted trying to figure out which steps to take.  If you’re stuck on where to begin consider hiring a professional and reference online guidelines like the Planning and Responding to Workplace Emergencies provided by OSHA (Occupational Safety & Health Administration).

How does having a security system affect emergency situations?

Security Challenges for Multi-Tenant Office Spaces

What security challenges do companies face in a multi-tenant space, and how can they be overcome?

A major challenge for tenants and facilities managers is communication.  As each business within a shared space operates differently, they’re likely going to have different security needs.  These needs should be clearly communicated with the building owner, facilities manager, and security systems provider.  If you’re a business that requires a higher level of secured access into the main building, and your office space, that should be discussed up front.

Often times in a shared building there are already security features in the entrance or lobby.  These areas serve as an initial means of access control, but different business owners may have different desired security restrictions.  For example, the company next door to you might not require a sign-in or check-in with security upon arrival, but maybe your company does.  Why does this matter?  It may affect how you secure your individual office space within the building.  You may not want another company’s client or employee accidentally wandering into your space.  A building owner or manager may have their own set of restrictions for each tenant as well, so having that conversation up front is imperative.  By having your own security in place you lessen the chances of workplace violence and employee theft from unauthorized entrants as well as within your own business.

Providing your employees with an emergency plan or protocol is important.  The buildings facilities manager will likely already have a plan for the entire building that includes alarm testing, drills, and escape routes.  You may be the type of company that wants to run your own emergency drills.  Running emergency drills is a great way to ensure your employees are prepared.  However, when running preparatory drills be sure to inform your neighbors and the facilities personnel to avoid confusion and unneeded chaos.  It might be beneficial to hold a meeting about emergency procedures with the building manager and neighboring company owners to come up with a cohesive plan.  That way you reduce the risk of complete panic if everyone is on the same page.

Construction and renovation within office buildings is not uncommon.  Redistributing space or accumulating office space can pose a security challenge for tenants.  During a renovation your building becomes a host to a multitude of people that you aren’t used to seeing on a daily basis.  This includes construction workers, architects, inspectors etc.  While these people are likely respectable individuals, you don’t know them, and you may not want them accidentally entering your space.

While most would agree a comprehensive security system is better to install during the initial stages of building construction, it doesn’t always happen that way.  In some buildings you may have tenants that opt for an individualized security system after moving in.  When acquiring space, you may run into old or inefficient security systems that do not align with what you might have in your current space.  To ensure your security system is cohesive and efficient you should involve your security systems provider during the initial design phase for the new space.  This will help make sure your current space is protected during the construction phase, and that all components will work seamlessly once completed.  According to Sean Ahrens, a senior security consultant with Schirmer Engineering (in regards to access control and alarm monitoring), “The only way to address those issues is with communication during the design process.”  He’s right, and this concept applies to all security issues a tenant may have.

NFPA: Are In-home Sprinklers The New Standard?

Fire SprinklerYou’ve probably seen sprinkler heads poking out of the ceilings at your office, a hospital, or other public venue where they are generally a code requirement.  But have you ever seen one in someone’s home?  Odds are probably not.  They are currently not required in private residences, but a new proposed legislation by the NFPA (National Fire Protection Association) aims to change that.

The Fire Sprinkler Initiative wants to make fire sprinklers a requirement in all new construction single and two family homes.  All homes should already have fire extinguishers and up to date smoke and carbon monoxide detectors so why would sprinklers be necessary?  Let’s find out.  As a security systems provider in central and northern New Jersey for the past 22 years our team at Perfect Connections, Inc. understands the importance of proper fire safety equipment.  We provide comprehensive home security systems that include the appropriate fire alarms and smoke detectors.

As a society we’ve gone countless years without in-home fire sprinklers, so why the push for it now?  Throughout those countless years, there have been countless incidents of house fires that have resulted in severe injuries, even deaths.  In fact over 85% of all fire deaths in the US have taken place in the home.  Approximately 3000 Americans die every year from house fires.  According to the NFPA, having an in-home sprinkler system along with working smoke detectors cuts the death risk by 80%.  The 2015 edition of the IRC (International Residential Code) requires fire sprinklers to be included in all new home construction.  The ICC (International Code Council) has specified that this requirement will be incorporated gradually over a period of 20 years.

States that have adopted the IRC requirements for one and two family homes are California, Maryland, and the District of Columbia.  Many other states have adopted the requirements for townhouses up to three stories.  Sprinkler installation in new construction homes seems like a no-brainer but not all are so eager to jump on the bandwagon.  In fact the NAHB (The National Association of Home Builders) has vehemently been opposing the proposed legislation and IRC requirements since the beginning.  NAHB’s communications director, Calli Schmidt in opposition to mandatory legislation has said, “The only way for sprinkler manufacturers to make money is to focus on mandates. Otherwise, they’re not financially feasible.”  This has been refuted by organizations for the cause pointing the finger right back at the NAHB saying they’re disregarding the safety of civilians and only concerned with selling homes.

This ongoing battle between the NAHB and supporters of the proposed legislation makes it unclear who has the best intentions for the homeowners.  Both sides claim profit as the top reason for opposition or acceptance.  The NAHB of Virginia purported the sprinkler manufacturers “hijacked” the code writing process in 2008 when they paid for travel expenses of numerous firefighters to attend the ICC meeting.  The ICC Appeals Board disputed this stating, “By unanimous vote that there was no material and significant irregularity of process or procedure.”  Sprinkler advocates believe in-home sprinklers would save not only lives but substantial property damage and loss.  According to the Department of Homeland Security deaths by fire in the United States fell over 40 percent once smoke detectors became mandatory back in the 1970s.  The NAHB believes the percent of saving more lives with sprinklers is minimal in comparison to their cost.  NAHB members are not against sprinklers as a voluntary measure, but to require them in all new homes would increase the cost of the homes themselves potentially threatening the health of the real estate market especially in times of economic hardship.

Whether or not the NAHB’s reasons for opposing the sprinkler initiative hold water, one must look at the facts and evaluate the risks.  According to the NFPA fatality rates in homes with sprinklers vs those without is 80 percent less.  Do financial costs outweigh the cost of losing a life/lives?  No tends to be the immediate response, but no matter how many safety features or preventative measures you take, there is no infallible system or guarantee.  That being said, the benefits seem to outweigh the costs.  The same holds true for home security systems.  Here at Perfect Connections, Inc. we know there is no perfect system, but we provide security systems that have been proven helpful in preventing catastrophe.  If you reside in northern or central New Jersey and are still relying on antiquated security techniques, don’t hesitate to call on our professionals.  Our experts can provide an in person assessment of your security risks and customize a system that is specific to your individual needs.

What’s Your Business Missing?

Inadequate protection from fire and carbon monoxide can be a killer for any business.  Having detectors and alarms may not be enough if they don’t communicate with emergency services.  It’s the same idea as the unmonitored burglar alarm, if no one is around to hear the detectors go off a fire could easily escalate to the point of no return.  For the quickest response time, fire alarms and detectors should be linked to a monitoring service that communicates with emergency services.  Proper fire alarms, smoke and carbon monoxide detectors should be an integral part of a comprehensive security system.  Your business is likely your livelihood, protect it.

Protect Your Home While You’re Away

While everyone needs a vacation now and then, it is important to make sure your home is fully protected before you leave.  Preventative measures will not only help avoid disaster, but allow you and your family to rest easy and enjoy your time off.  There are many steps you can take to protect your home from break-ins and burglary, allowing you to focus on what’s most important-laying out in the tropical sun with an umbrella drink in hand!

Install a Home Security System

Have Someone Stop By or Stay

Having a trustworthy relative or friend/neighbor stop by your home on a regular basis, or even stay there, while you’re on vacation can be a helpful crime deterrent.  It can make it appear as if you and your family are still home.  Having someone there to tend to your plants, animals, and general upkeep will prevent your home from looking uninhabited, which to a criminal means, “open for business.”  Whomever you charge with caring for your home should be given your vacation contact information and spare key in case of an emergency.  There are services where you can hire house sitters/pet sitters, but they’re likely to be pricier than a friend or family member.

Stop the Mail

Unless you already have a post office box, you likely receive mail at your home.  When you are going on vacation or leaving your home for an extended period of time, you want to make sure you have your local post office hold your mail until your return.  A mailbox that is bursting at the seams can tipoff criminals that you’re away.  It’s best to either stop your mail, which you can conveniently do online HERE, or have a trustworthy friend/relative check and pick it up frequently.  The post office can hold your mail for up to 30 days.  This idea holds true for newspaper delivery as well.  If you subscribe to a newspaper, make sure they don’t pile up on your front step or in your driveway while you’re gone.

Time Your Lights

Setting timers for your interior and exterior lights can be an effective crime deterrent.  It’s better than leaving lights on throughout the entirety of your vacation.  Leaving lights on the whole time will not only run-up your energy bill, but create suspicion for criminals who might be watching your house.  They’ll notice that certain lights never go on or off indicating no one is around.  With a comprehensive security system, you can set timers before you leave, and with home automation you can change your settings from afar if need be.

Beware of Social Media

Turn Off/Unplug Appliances

Unplugging or turning off appliances will help save on your energy bill.  Also, it will help prevent potential power surges or electrical fires.  Things like coffee makers, computers, and TVs should be unplugged unless you have someone staying or stopping by regularly.  Unplugging appliances before you leave helps alleviate any worry that you might have accidentally left something on or running.

Alert Local Authorities & Alarm Company

If you’re planning on being away for longer than an extended weekend, it might be a good idea to alert the local authorities.  They may be more inclined to go past your home on their patrol routes if they know you’re gone.  If you have a security system with a monitoring service, it is crucial they are made aware of your leave.  This will help avoid false alarms and make them more vigilant of any irregularities.

Temperature Settings

Where did it all start?

It may not be on everyone’s mind on a daily basis, but in today’s society video surveillance is actually an integral part of our everyday lives.  From ATM machines, to traffic lights, to drones, cameras seem to be everywhere.  To understand where the concept for video surveillance came from, we have to look at the history and development of video cameras.  Traveling back in time the first movie cameras were developed in 1880 by Thomas Edison and William Dickson.  As a result the first motion picture demonstration took place in 1893.  Into the 20th century camera development continues to move swiftly with Closed Circuit Television (CCTV) in Germany used for bomb monitoring in 1942.  Charge-coupled device (CCD) technology in 1976 allowed for 24 hour surveillance because of its ability to work in low light.  Skip forward to 1996 and you have the birth of the Internet Protocol (IP) camera.  The IP cameras allow the sending and receiving of information across computer networks.

This ever-changing technology and various historic events, such as 9/11, have made video surveillance in public and private spaces ubiquitous worldwide.  As pervasive and helpful as it can be in a protective sense it remains a controversial topic for some.  The idea that government drones can stealthily record information on American citizens is a surveillance technique that does not sit well with some.  What are your thoughts?

Avoiding Scams

Scam-Widjaya IvanImagine you’re at home and the doorbell rings.  You go to answer the door.  Who’s there?  It’s a salesman claiming to be a representative from a security system company.  They tell you they’re at your home to offer you a free security system.  Sounds too good to be true, right?  That’s because it probably is.  Unfortunately, this type of scam is not uncommon in the residential security system industry.

At Perfect Connections, Inc. we believe in helping our customers, not ripping them off.  Our licensed experts install customized and comprehensive residential security systems throughout Northern and Central New Jersey.  We know each home is unique, which means each system should be tailored individually.  False promises, aggressive sales tactics, lengthy and overpriced contracts are NOT what we are about.  Unfortunately, there are many door-to-door “sales” people that are only looking to make a quick buck.  In doing so, they typically pressure you to sign high priced contracts or make a purchase on the spot.  They talk fast to avoid any questions you might have, and to meet their end goal which is you writing a check or giving them your credit card information.

These so called “sales” representatives aren’t even associated with an actual security company in many instances.  In some cases, like one reported by CBS Miami, these sales associates may falsely represent themselves as part of an already established company.  The case in Miami involved a man named Yassiel Cabre who reportedly worked for a company called Alarm Digital Telecommunication.  Instead of representing himself that way, he would tell homeowners he worked for ADT, which is a well-known security systems company.  He even gave out folders and business cards that clearly displayed the ADT logo.  He conned one victim into signing a 5 year contract (industry standard is typically 36months) with a company called Monitronics (ADT competitor), promising them they would be saving money because ADT supposedly purchased Monitronics.  Of course this was 100% false.

Con artists or aggressive door-to-door sales people will sometimes use scare tactics to get you to sign contracts, buy what they are trying to sell, or simply let them into your home-only to steal from you.  They might feed you forged crime statistics about your neighborhood to persuade you into buying what they’re offering.  They do this hoping fear will get the better of you.  If they’re not scaring you into buying an inadequate or fake system, they might offer freebies.  A common tactic is to offer a free “system” in exchange for allowing them to put a sign on your lawn (consumerreports.org).  While this may sound like an awesome deal, it’s not.  As you’re caught up in the word “free,” long term contracts will be sneaked in as a formality of the deal, and you’ll sign because it seems fair.  Next thing you know, you’re locked into an expensive agreement that costs an arm and a leg to cancel.

Don’t let yourself be a victim of these forceful sales strategies.  There are some telltale signs that you might be getting scammed or ripped off.  Check out the list below:

  • Aggressive sales tactics
  • Skipping right to the contract instead of taking the time to discuss and review the vulnerabilities of your home
  • Limited time offers
  • Companies that sell your contract to a bigger company after the initial agreement is made
  • Using fear as a selling point
  • Offering everything for “free”
  • Claiming to be a representative from your current security systems company
  • They will not produce proper identification or licensing
  • Fast talking and speedy contract review
  • Immediate installation without an assessment

Hide gifts

Do not leave gifts, wrapped or unwrapped in front of windows or within sight from the exterior of your home.  Just as with any valuables, the more visible they are, the more incentive burglars have to break-in.  If you are going to leave gifts in front of windows or within outdoor sight, try drawing your curtains.

Do a quick survey of your property

Taking the time to inspect the exterior of your home and property is a great way to ensure your access points are adequately protected.  Doing this can help point out potential hiding spots for criminals (i.e. high or untrimmed shrubs) and weak spots that might need attention.

Out and about

While you’re out shopping be sure to secure your home and yourself.  If you carry a purse be sure to keep it close to you.  Wallet carriers, if you normally keep it in your back pocket, be sure to switch it to your front.  Park your car in well-lit areas.  You can never be too careful.

Fire Alarm Maintenance

Fire Alarm-Tim GreenAs a business owner you no doubt have a long “to do” list on a daily basis.  Maintaining your fire alarm system is probably not at the very top.  Nonetheless, it is an extremely important issue.  Without a properly maintained fire alarm system, you’re setting yourself-and your business-up for disaster.

At Perfect Connections, Inc. we want to help you gain a better understanding of what is required to maintain a commercial fire alarm system.  This will help you stay on task and focus on what is most important-running your business.  Being informed and prepared is half the battle.  As experts in the field, our licensed professionals have been providing fire alarm and security system solutions to Northern and Central New Jersey businesses for over 20 years.  The following is a list of answered questions that will help clarify some of the concerns you likely have regarding your current system; or if you are considering a brand new fire alarm system.

What is required of the business owner?  Honestly, not a whole lot.  In fact, as an owner you are not allowed to do any of the maintenance work yourself.  This is dictated by the fire codes.

How often does the system have to be inspected, and by whom?  A fire alarm system has to be inspected annually (at least).  Some facilities may have to be inspected quarterly, it really depends on the type of business.  This includes testing all components of the system.  The inspections are performed by a licensed contractor like those from Perfect Connections, Inc..  Once the inspection is completed, and you pass, the contractor passes the inspection report onto the local fire official.

What happens during an inspection?  “It’s loud!”-Patrick Chrustinsky (President of Perfect Connections, Inc.)  The reason an inspection is loud is due to the fact that all components have to be tested which means the actual alarm system has to be set off.

What do you need to know before an inspection, if anything?  You will need to notify the occupants of your building that the system is Brows-Daniela Vladimirovabeing tested.  It is the alarm system company’s responsibility to notify the central monitoring station and local fire department to avoid accidentally dispatching responders.  It’s important to notify the appropriate parties to avoid false alarm fines and furrowed brows.

How are tests recorded and who is responsible for keeping records?  Tests are recorded on an annual inspection form to be filled out by the licensed contractor performing the inspection.  The report is then delivered to the local fire official.  By law the business owner is supposed to keep a copy on their premises as well.

When/should a fire alarm system be updated?  It really depends system to system and case by case.  The backup batteries that come with fire alarm systems typically last 3-5years.  As previously mentioned every component of the system is tested during each inspection, so if something requires attention or needs updating/replacement it will likely be discovered at that time.

What are the benefits of a properly maintained fire alarm system?  To state the obvious, it’ll work properly!  If there is a fire or smoke is present it’ll warn you and send a signal to your central monitoring station, as it’s meant to.  A properly functioning system won’t set off false alarms which can be costly.

Do maintenance requirements differ between monitored and unmonitored systems?  Every system has to be tested and inspected regardless of the type.  That being said, most facilities especially new construction and renovations are no longer installing unmonitored systems.  Unmonitored alarm systems tend to show up in older facilities and in most cases wouldn’t be recommended today.

What is required by law/code?  There is no blanket for requirements.  Every business is categorized under the fire code, and each category has a different set of requirements.  There are separate sets of rules for each type of dwelling and occupancy.  Rules set up by the NFPA (National Fire Protection Association) must be followed/taken into account as well.  The location of your business will also effect which codes and regulations are applicable.  For example, in New Jersey certain ADA (Americans with Disabilities Act) rules and the NJ Barrier Free Subcode have to be taken into account.

What are the requirements specific to businesses in Northern and Central New Jersey?  When you install a fire alarm system you must acquire a permit.  Before a permit can be issued a sealed plan from an architect or engineer must be submitted for approval.  The plan must indicate the details of the whole fire alarm system.  The permit then has to be approved and inspected by the authority having jurisdiction (AHJ).  The NFPA explains AHJ as follows:

“The authority having jurisdiction (AHJ) is that person or office charged with enforcing the Life Safety Code. In many states the AHJ is the state fire marshal who has local inspectors work on his/her behalf. In some cities, fire department fire prevention division personnel fulfill the role of AHJ; sometimes it is the building official. For some occupancies, there is more than one AHJ; each AHJ’s approval must be secured. For example, the authorities having jurisdiction for a hospital might include: state fire marshal; building official; fire department fire prevention officer; state health care licensing agency; The Joint Commission; U.S. Department of Health and Human Services – Centers for Medicare and Medicaid Services (CMS); and the facility’s insurance carrier. If you’re unsure who the AHJ is, contact your state fire marshal.”
